Our role
Conceived, designed and built by 3i System
PracticeDesk's four tools: a WhatsApp AI receptionist, smart booking and scheduling, an AI voice agent and a practice dashboard.
The four parts of the system on practicedesk.live, captured 14 October 2026.

The problem

Small practices lose bookings in the gaps. Enquiries arrive after hours and at weekends, when nobody is at the desk. Booking turns into a long back-and-forth of messages. Clients forget appointments and do not turn up. And covering the phone and WhatsApp normally means having a person at the desk.

What we built

Four connected parts that cover the front desk from first message to reminder.

WhatsApp AI receptionist

Greets clients, runs the full booking flow (service, staff, time, confirm), answers questions from the practice's own services and FAQs, and hands over to a person with one tap when it should.

Booking and scheduling

Clients book through WhatsApp or a branded website. Availability is set per staff member, bookings can be confirmed automatically or approved manually, and automated WhatsApp reminders help reduce no-shows.

AI voice agent

A dedicated phone number that answers in natural conversation, books appointments, handles common questions, plays a custom greeting recorded in the practice's own voice, and follows up missed calls on WhatsApp.

Practice dashboard

Today's schedule and pending approvals, a WhatsApp inbox with an AI on/off switch per conversation, a client CRM with history and notes, and bulk messages to client lists.

PracticeDesk's audiences: medical professionals, salons and spas, CA and accounting practices, and physiotherapy.

How a practice gets started

Onboarding is designed to take minutes, not a project.

  1. The practice creates an account by describing its services, hours and booking preferences.
  2. It connects an existing WhatsApp Business number. Our team handles the Meta setup, usually live within 24 hours.
  3. The practice shares its booking link and appointments begin filling the calendar automatically.
